EuroGames Terms & Conditions of booking

By registering to participate in the EuroGames 2022, you accept the following Terms and Conditions:

The EuroGames 2022 are organised by Stichting EuroGames Nijmegen 2022 [EuroGames Nijmegen 2022 foundation], a non-profit organisation registered in Nijmegen, The Netherlands (hereinafter referred to “EG22”).

EuroGames® is licensed by the European Gay & Lesbian Sport Federation (hereinafter referred to “EGLSF”).

1. Disclosure of personal information

I understand that as part of the registration process of the EuroGames 2022, personal information will be collected by EG22 and stored in accordance with Dutch legislation. I accept the collection, use and disclosure of my personal information for the purpose of enabling my participation in the sports, conference and cultural program of the EuroGames 2022 and for the purpose of receiving information related to my participation in this event from EG22 in the form of electronic newsletters, promotional flyers and other communication media.

I give my consent that EG22 may disclose my personal information to any third parties that are involved in the organisation, on behalf of EG22 and to the EGLSF for the purposes of promoting the EuroGames 2022 and to promote future events of EGLSF’s member associations.

2. Age Policy

The age limit for participation in the EuroGames in 2022 is 18 years. Accordingly, participants must be 18 years old or older by 27 July 2022.

3. Gender Policy

EG22 affirms and supports the rights of athletes to compete as their true selves and to compete in the gender category that accords with their gender identity.

Male categories are open to all who identify as male, and female categories open to all who identify as female.

We recognize that a binary definition of gender excludes people who are non-binary, and so in sports with different gender categories, we will have a third category for non-binary athletes. In case of too few registrations to organize a full-fledged tournament in this non-binary category, EG22 reserves the right to ask registrants in the non-binary category to participate in one of the other categories, of their own choice (and if registrants don’t like this idea, they will be offered a refund).

During the registration process, athletes are asked about their gender identity and preferred pronouns; please note that these are optional questions. The data helps us monitor inclusion, diversity and representation at the EuroGames in 2022. Furthermore, we will use the data to create a push for greater inclusion in sports by proving that it is indeed possible.

4. Health and Insurance

I declare that I am in a physically fit and healthy state which is required for participation in events of the EuroGames in 2022 for which I am registering, and that I am not aware of any serious medical condition that would prevent me participating in these physical activities. For clarification, it is agreed that having been diagnosed as HIV positive is not considered a “serious medical condition” for the purposes of this clause.

If I sustain an injury or illness while participating in any role in the EuroGames 2022, I hereby authorise any medical or health personnel to perform and administer first aid medical treatment as deemed necessary and to seek more specialised medical attention at hospitals and health care institutions if deemed necessary by any first aid and medical staff or contractors of EG22.

I accept that it is my responsibility to organise my own travel insurance and personal accident insurance to cover my property and myself for the whole period of the EuroGames in 2022. I agree that I have hereby been advised to acquire adequate personal accident and health care insurance as a participant in any role in the EuroGames in 2022.

5. Liability

I acknowledge that I am fully aware of the risks and hazards inherent to participation in the different events of the EuroGames in 2022. I acknowledge and agree that I have elected to voluntarily enter this agreement and to assume all risks of loss, damage and injury, including death, that I may sustain as a consequence of my participation in any of the sports or other events that I have registered for. I hereby fully release EG22 and all of its affiliated companies, sponsors, servants, agents, officers, directors, members and employees from any claims, actions, suits or demands of whichever nature arising out of or related in any way to my participation in the events of the EuroGames 2022, including any loss, damage, injury or death sustained by any third party as a result, directly or indirectly, of my participation in the event. I hereby fully indemnify EG22 and all of its affiliated companies, sponsors, servants, agents, officers, directors, members and employees against all expenses, losses, damages and costs that they may incur as a result of my participation in the event.

6. Rules and Regulations

I agree to abide by the rules and regulations of the EuroGames 2022 events as determined by EG22 and governing bodies for sport and cultural events, including all written and verbal instructions given by EG22 designated officials and event managers.

Applicable rules and regulations include – but are not limited to:

I agree that any failure to comply with the official instructions, rules and regulations of EG22 or governing bodies for sports, conference and culture events may result in immediate disqualification from events or from the games.

I accept that the decisions of EG22 and EuroGames in 2022 tournament officials are final.

EG22 reserves the right to have designated officials reclassify sports, cultural event and conference participants where the registrant has self-selected a grade, level, category, division or other classification. EG22 reserves the right to combine or eliminate grades, levels, rounds, event lengths, categories, divisions, or other classifications if deemed necessary at EG22’s complete and sole discretion.

I am aware that some venues or locations may have restricted accessibility or restrictions to serve special needs. EG22 is committed to make sports, politics and culture accessible for everyone. The Netherlands has legislation that prohibits any kind of discrimination based on special needs or disabilities. The EuroGames 2022 will follow local legislation and aim for a fully accessible event independent of any special needs or disabilities.

7. Cancellation and Refund Policy

Cancellations must be notified in writing.

  • • Cancellations received up until 5 months before the start of the event (11 October 2021 – 31 March 2022) will receive a 90% refund less the administration charge. 
  • • Cancellations received up until 2 months before the start of the event (1 April 2022 – 31 May 2022) will receive a 50% refund less the administration charge. 

Refunds will not be issued for cancellations received after 31 May 2022.

In case the organisation is compelled to cancel all activities related to the event EuroGames 2022 due to an “Act of God”, participants will be refunded as follows:

  • • The cancellation takes place within 6 – 3 months before the start of the event (between 1 February 2022 – 30 April 2022). Participants will receive a 75% refund.
  • • The cancellation takes place within 3 months before the start of the event (After 1 May 2022). In this case, participants will receive a 50% refund.

In case the organisation is compelled to cancel a specific sports tournament as part of EuroGames 2022 because of a lack of participants, participants will be offered the choice between registering for another sport, or withdrawing their participation. In the latter case, they receive a 100% refund.

8. Trademarks and Branding

I agree not to make any unauthorised use of the logo or trademarks, including “EuroGames”, “EuroGames 2022”, “EGLSF” or any variation on these, on personal or team uniforms/clothing, merchandise, or promotional material and to abide by EG22’s policies governing the use of logos and trade names.

I agree not to act in a way that would harm or compete with or devalue EG22 and European Gay and Lesbian Sport Federation, EGLSF sponsors’ rights regarding branding potential, logo rights, exclusive presence, etc. at venues where events are being held. If at any time during the event, officials designated by EG22 determine, at their sole discretion, that my actions may result in the devaluation of said sponsor rights or competes with the event sponsors, I will be required to immediately cease such action, including the removal of any uniforms, signs or other items that compete with sponsor or potentially devalues such sponsorship.

9. Promotional Material

I hereby grant EG22 the right, in conformity with the EuroGames 2022 Privacy Policy to use, at its discretion, photographic pictures of myself in any form of media, art, advertising, trade, visual documentary, promotional material, merchandise or film coverage of any kind without compensation to me or approval by me. I will not make any unauthorised reproductions or copies of the EuroGames 2022 logo or likenesses without written permission from EG22.

When collecting my participant badge, I may request a sticker on my badge indicating that I do not want to have my picture taken.

10. Applicable Law

Any dispute arising out of or in connection with the EuroGames 2022, including any disputes regarding the existence, validity or termination thereof, will be subject to Dutch law and will be resolved by the Nijmegen City Court, The Netherlands.
